GCMS Notes for Express Entry Applications

Last updated: June 18, 2026

After an Invitation to Apply, your electronic permanent residence application (e-APR) is assessed by an officer whose work is recorded in GCMS. If your file is moving slowly or was refused, the notes show how the officer evaluated the very factors your Comprehensive Ranking System (CRS) score was built on.

What Express Entry GCMS notes typically show

  • CRS factor assessment โ€” how the officer verified the points claimed for age, education, language, and work experience.
  • Work-experience review โ€” whether your skilled experience matched the claimed TEER occupation, and whether reference letters showed duties, hours, and salary.
  • Language and education โ€” whether your test results and ECA met the required levels.
  • Proof of funds (for programs that require it) and any concern about documents or completeness.
  • Eligibility, medical, and security/background statuses as the file progresses to a decision.
The R10 completeness check is an early milestone for PR applications โ€” it's where IRCC confirms your application is complete enough to process. Many applicants order notes once the file is past this stage so the officer's assessment is actually recorded.

Why this matters after a refusal

Express Entry refusals often hinge on whether claimed CRS points could be verified โ€” for example, work experience the officer found didn't match the occupation, or a reference letter missing key details. The notes pinpoint which factor fell short, which is essential for deciding whether to fix and resubmit a profile or pursue judicial review.

Frequently asked questions

What do GCMS notes show for an Express Entry application?+

They show how the officer verified your CRS factors โ€” age, education, language, and work experience โ€” plus proof of funds where required, and the eligibility, medical, and security statuses as your file moves toward a decision.

When should I order notes for an Express Entry file?+

Often once the application has passed the R10 completeness check and an officer has begun assessing it, so the notes contain a substantive review rather than just receipt entries.
