How to Request Your GCMS Notes from IRCC

Last updated: June 18, 2026

Your GCMS notes are released through an Access to Information and Privacy (ATIP) request to IRCC. The process is straightforward once you know the steps, but small mistakes — especially on the consent form — are a common reason requests get delayed or rejected. Here is how it works from start to finish.

Step 1: Confirm you are eligible to request

To request personal information held by IRCC under the Privacy Act, you generally need to be a Canadian citizen, a permanent resident, or an individual present in Canada. If you are outside Canada, a request can still be made on your behalf by an authorized representative.

Step 2: Gather your information

Having the right identifiers ready makes the request much smoother. You will typically want:

  • Your full legal name and date of birth.
  • Your Unique Client Identifier (UCI), if you have one.
  • Your application number.
  • The type of application you are asking about (study permit, work permit, PR, citizenship, etc.).

Step 3: Complete the IMM 5744 consent form

The IMM 5744 — "Consent for an Access to Information and Personal Information Request" — is the form that authorizes the release of your information. If someone is requesting on your behalf, this form is what gives them permission. It must be signed and dated correctly. Errors here, such as a missing signature or mismatched details, are one of the most common causes of rejected requests.

Before submitting, double-check that the name and date of birth on your IMM 5744 exactly match your other documents and that the form is signed and dated. GCMS.ca validates this form automatically before submission specifically to prevent these avoidable rejections.

Step 4: Submit your request

There are two practical routes:

Option A — Do it yourself (free)

You can submit an ATIP request directly to IRCC through the Government of Canada's online ATIP portal at no cost for your own personal information under the Privacy Act. This is the right choice if you are comfortable handling the form and the follow-up yourself.

Option B — Use a service

A service like GCMS.ca files the request for you, validates your consent form to reduce the risk of rejection, tracks the request, and can translate the resulting notes into plain language in English, Punjabi, or Hindi. You are paying for convenience, validation, and explanation — not for access you could not otherwise obtain.

Step 5: Wait for IRCC's response

By law, IRCC has 30 days to respond to an ATIP request, although extensions are permitted in some cases and real-world timelines can vary. When the response is ready, you receive a package containing your GCMS notes. See our guide on GCMS notes processing time for what affects how long this takes.
