How Often Should You Order GCMS Notes?

As often as you find them useful โ€” there is no limit on how many times you can request your GCMS notes, and doing so does not penalize or delay your application. The more important question isn't how often, but when: notes are only worth ordering once an officer has recorded something worth reading.

When notes are most useful

After a refusal
Wait roughly 4โ€“6 weeks after the decision so the officer's reasoning is fully logged, then order once to understand exactly why your application was refused.
For a permanent residence file in progress
Ordering around the second or third month after submission usually captures meaningful officer activity rather than just receipt entries.
For an unusually delayed file
If processing is running well beyond normal times, re-ordering every couple of months can show whether the file is moving and where it's stuck.
Ordering too early is the most common mistake โ€” early notes are often thin because the officer hasn't worked the file yet. Patience usually yields more useful notes.
